Floor Speed AI LLC is a Maryland limited liability company that provides AI-assisted phone answering, lead qualification, appointment scheduling, and related workflow software for flooring businesses. References to “Floor Speed AI,” “we,” “us,” and “our” mean Floor Speed AI LLC.

This Privacy Policy applies to floorspeed.ai, app.floorspeed.ai, our public and guided demos, and the services we provide to customers. A customer's agreement with us may include additional data-processing terms. When we process caller or customer information for a flooring business, that business may also have its own privacy notice and responsibilities.

Personal information we collect

Depending on how you interact with Floor Speed AI, we may collect:

• Contact and business information. Your name, business email, phone number, company, store location, website, role, and details you provide through demo, sales, onboarding, or support interactions.
• Caller, lead, and scheduling information. Caller names and contact details, call metadata, project needs, service addresses, appointment requests, availability, booked times, notes, dispositions, and follow-up details.
• Calls and communications. Audio recordings, transcripts, summaries, voicemails, messages, emails, and other communications handled by or sent to Floor Speed AI.
• Account and connected-service information. Account identifiers, settings, authorized users, phone configuration, and data made available through services you connect, such as calendar lists, free/busy availability, and appointment events.
• Demo information. Information you submit to request or access a demo, consent choices, campaign or referral parameters, and information you choose to provide during a test interaction. The public dashboard demo itself uses synthetic store, caller, and call data.
• Usage and technical information. Pages and features used, form interactions, timestamps, IP address, browser and device information, diagnostic data, security events, and server logs.

Sources of information

We collect information:

• directly from you when you contact us or use the service;
• from flooring businesses that use Floor Speed AI and configure workflows for their callers, customers, and authorized users;
• from connected services you or a customer authorize, such as calendars, phone providers, or business systems; and
• automatically through our website, product, hosting, communications, security, and infrastructure providers.

How we use personal information

We may use information to:

• provide, configure, maintain, and support Floor Speed AI;
• answer and route calls, qualify leads, capture messages, create transcripts and summaries, and manage scheduling workflows;
• respond to demo, sales, onboarding, and support requests;
• authenticate users, preserve customer and demo isolation, detect abuse, enforce limits, and protect our systems;
• monitor reliability, troubleshoot errors, analyze product usage, and improve our website, demos, and services;
• send service, security, support, and other business communications, plus marketing communications where permitted and subject to your choices;
• create aggregated or de-identified business and product insights; and
• comply with law and enforce our agreements.

AI-assisted processing

Floor Speed AI uses AI and transcription providers to answer calls, interpret requests, generate transcripts and summaries, qualify leads, and support scheduling. We provide those providers only the information needed to perform the relevant service. We do not use Google user data to train generalized AI or machine-learning models.

Google Calendar and Google API data

If a customer connects Google Calendar, Floor Speed AI may access calendar lists so the customer can select a calendar, free/busy information so we can check availability, and calendar events so we can create or manage appointments requested through the customer's workflows.

We do not sell Google user data or use it for advertising. Floor Speed AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

How we share personal information

We may disclose information to:

• Our customers. Flooring businesses receive information from calls and workflows handled on their behalf so they can serve their callers, follow up on leads, and manage appointments.
• Service providers. Providers that support phone and messaging delivery, transcription, AI processing, hosting, email, security, analytics, calendars, scheduling, customer support, and other product operations.
• Professional advisers. Lawyers, accountants, insurers, auditors, and other advisers where reasonably necessary.
• Authorities and other parties. When required by law or reasonably necessary to protect rights, safety, security, and the integrity of our services.
• Business transaction participants. Parties involved in an actual or proposed financing, acquisition, merger, reorganization, or sale of all or part of our business, subject to appropriate protections.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising, use it for targeted advertising, or use it for profiling that produces legal or similarly significant effects.

Appointment confirmation texts

When available and you explicitly agree during a booking call, Floor Speed AI sends one confirmation text per booked appointment with the participating store. Message frequency depends on your bookings. Message and data rates may apply. We use your mobile number, appointment details, and consent record to provide this service.

We do not sell or share mobile numbers or SMS opt-in information with third parties or affiliates for marketing or promotional purposes. SMS consent records are not shared for those purposes. We provide information to service providers only as needed to deliver and support the messaging service, and provide appointment information to the store involved in your booking.

Cookies and similar technologies

We do not currently use advertising cookies or consumer tracking pixels on floorspeed.ai. Our website and infrastructure providers may use essential cookies and collect server logs, IP addresses, and similar technical information to deliver and secure the site, remember necessary settings, prevent abuse, and understand basic service performance.

Retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy. The period depends on the nature and sensitivity of the information, customer instructions and contract terms, operational and security needs, the risk of harm from continued retention, and applicable legal, accounting, or reporting requirements. We may retain records needed to establish or defend legal claims, prevent fraud, resolve disputes, or enforce agreements.

When information is no longer needed, we may delete, aggregate, or de-identify it. We do not attempt to reidentify de-identified information except to test whether our de-identification processes work as intended or as permitted by law.

Your choices

• You may opt out of marketing emails by using the unsubscribe instructions in the message or contacting us. You may still receive service and security communications.
• Customers can disconnect connected services or ask us to assist with account and integration settings.
• You may decline to provide optional information, although some features cannot work without information identified as required.

U.S. state privacy rights

Depending on where you live and whether the applicable law covers Floor Speed AI, you may have rights to request information about our practices, access or obtain a copy of personal information, correct inaccuracies, request deletion, or appeal a decision about a request. You may exercise applicable rights without unlawful discrimination.

Email requests to hello@floorspeed.ai. Please describe the request and your relationship with Floor Speed AI. We may ask for information reasonably necessary to verify your identity, authority, or residency. An authorized agent may submit a request where permitted by law, subject to verification of the agent's authority.

If your information was collected by a flooring business using Floor Speed AI, that business may control the information. Contacting the business directly may be the fastest way to exercise your rights, and we will assist our customer as required.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No internet, communications, or storage system can be guaranteed to be completely secure.

International data transfers

Floor Speed AI is based in the United States and may use providers that process information in the United States or other countries. Privacy laws in those locations may differ from the laws where you live.

Other sites and services

Our website, product, or communications may link to third-party services. We do not control their privacy practices, and their own policies apply.

Children

Floor Speed AI is a business service and is not intended for anyone under 18. We do not knowingly collect personal information directly from children through our website or demos. If you believe a child provided us with personal information inappropriately, please contact us.

Changes to this policy

We may update this Privacy Policy. If we make material changes, we will post the updated policy and revise the date above. We may provide additional notice when appropriate.
